Patient acquisition for clinics · Google Ads → landing page → CRM → booked appointments

You pay for ads. Patients call.Nobody connects the two.

We run Google Ads to a landing page we build, every call lands in a CRM with its source attached, and we optimize for booked appointments. You see what each new patient cost, per office. Your website stays untouched.

We tried all of it. SEO, social, content, the works. If you want more patients as fast and as simply as possible, there is one playbook that works: ads to a page to a CRM, measured in appointments.

The problem

The phone rings. Nobody can say which ad made it ring.

Most clinics already spend on marketing. The money goes out, patients come in, and the two are never connected. Three leaks sit between an ad and a booked appointment, and most agencies never look at them.

36
calls for every 1 form fill
Patients call. They don't fill out forms. Analytics counts the forms, so the report says the ads did nothing while the front desk is on the phone all day. Fifteen of sixteen clinic sites we audited could not see a single call.
Leak one: the calls are invisible
1/3
of new patient calls never followed up
The front desk is checking people in, answering the phone and handling insurance at the same time. A third of new patient calls never get a callback. Those are patients you already paid for.
Leak two: the follow-up slips
$120+
healthcare's benchmark cost per lead
The report that comes with it is traffic, not patients. The agency needed logins to everything and wanted to rebuild the site to get there. Nobody can say what a new patient cost, per office, in dollars.
Leak three: the report stops at clicks
The system

Four steps,one number that matters

Cost per booked appointment, per office. Each step below plugs one of the leaks above and proves where every patient came from.

Watch a morning run
Click to the patient, ad to appointment

One campaign per office, built on the searches patients type when they need an appointment this week. Optimized on phone calls and booked appointments, never clicks. Waste gets cut weekly.

See the ads step

Ads go to a page we build and host, with a tracked phone number and a short form, so every call is counted and tied to the ad that caused it. Your website stays exactly as it is. No logins, no redesign, no waiting on your web person.

See the landing page step

Every call and form lands in one pipeline with its source attached. Speed to lead, who booked, and which calls were never followed up. This is where the front desk leak shows up, and where it gets fixed.

See the CRM step

Booked appointments go back to the ad platform as conversions, so the campaign learns from patients, not clicks. You get cost per new patient, per office, tied to real dollars. Not a traffic report.

Who it's for

Self-select. Nobody is going to pitch you.

This works for a specific kind of practice. If that's you, the audit call is worth twenty minutes. If it isn't, we'll say so.

It's for you if

  • You have open slots this month and want them filled, not a brand campaign that pays off next year.
  • Your patients call. Podiatry, family medicine, dermatology, optometry, dental, sleep, TMJ, hormone and wellness.
  • You want to know what each new patient cost, in dollars, per office.
  • You've had an agency that needed logins to everything and rebuilt your site. You don't want that again.
  • You're fine routing ad calls through a tracked number and a CRM so nothing gets lost.

It's not for you if

  • You want one vendor to run every channel. We run one system, well, alongside what you already have.
  • You'd rather judge marketing on traffic and impressions than on booked appointments.
  • You're after a brand campaign that pays off next year. This is built to fill slots this month.
  • Your front desk can't answer the phone during business hours. The system finds the leak, but someone has to plug it.
Pricing

One new patient a week and it's paid for.

A flat monthly fee per office, never a percentage of your revenue. No contract, everything built in your own accounts, ad spend paid direct to Google. Live in about a week.

Patient Acquisition

Questions

Straight answers, before the call.

Is there a contract?

No. Month to month, stop any month. Setup is the only one-time cost, and there is no cancellation fee.

Who owns the ad account, the CRM and the phone number?

You do. Everything is built in accounts under your name. If we ever part ways, the campaigns, the pipeline and the tracked number stay with you.

How fast does it go live?

About a week from the audit call. Setup is roughly three hours of our work per office: the campaign, the landing page, the tracked number and the pipeline. Nothing on your website changes, so there is no web project to wait on.

What about HIPAA?

A BAA is signed before any lead touches the CRM. No social pixels on the landing page, Google Signals off, consent on. Google only ever receives a click ID, never a patient. Ask us for the tracking posture in writing.

Which practices does this work for?

Call-first clinics with open slots: podiatry, family medicine, dermatology, optometry, dental, sleep and TMJ, hormone and wellness. If your patients book by phone, it fits.

What do you need from us?

Twenty minutes on the audit call, a phone that gets answered during business hours, and one person who owns the number. We handle the rest.

You run the clinic. We fill the schedule.

Twenty minutes on a call. We look at your ads, your tracking and your follow-up, and tell you what it would take to fill the open slots. Yours to keep, whether you hire us or not.

At $2,500 a patient, one new patient a week is $130,000 a year. That is the bar this has to clear.
